Products Terms and Conditions

Thanks for shopping with Shop 4 School! To make sure everything is clear and smooth sailing for everyone, we’ve put together these helpful Terms and Conditions that apply to all our product sales.

These Terms and Conditions include but are not limited to Stationery, Toys, Labels, Sports Equipment, Packed Lunches and any other products Shop 4 School may supply from time to time.

1. Product Information & Images
We aim to provide accurate product descriptions, photos, and details – but please note that colours, designs, or packaging may vary slightly depending on stock or supplier availability.

All images are for illustrative purposes only.

2. Availability & Stock
Products are subject to availability. If something you’ve ordered is out of stock, we’ll contact you ASAP with an alternative or offer a refund.

We reserve the right to limit quantities per customer, especially during high-demand periods.

3. Pricing
All prices are listed in South African Rand (ZAR) and include VAT (where applicable).

Prices are subject to change without notice, but confirmed orders will be honoured at the time of payment.

4. Payment Terms
Orders must be paid in full before dispatch, unless otherwise agreed in writing.

Payment options will be listed during checkout or invoicing. Proof of payment may be requested before order processing.

Items will not be dispatched until payment has been received and reflects in the Shop 4 School bank account. Should you wish to receive the items as a matter of urgency, may we suggest that an instant payment is processed through your bank.

5. Delivery & Collection
We offer delivery nationwide. Delivery costs and estimated timeframes will be shared at checkout or on your invoice.

We’ll always do our best to deliver on time, but delays due to courier issues, stock, or public holidays may occasionally occur.

6. Returns & Exchanges
Overview
Our refund and returns policy is 30 days from date of purchase. Once 30 days have passed since your purchase, we ask that you contact us directly in order for us to establish if we can offer you a refund or exchange.
To be eligible for a return, your item must be returned to Shop 4 School and it must also be in the original packaging. Please contact us directly to arrange the address details for the return.
To complete your return, we require the receipt or proof of your purchase.
Please do not send your purchase back to the manufacturer as they will be unable to assist you with your return.
There are certain situations where only partial refunds will be issued and these include but are not limited to:
Any item that is not in its original condition, is damaged or there are any missing parts for reasons not due to an error on Shop 4 School’s part.
Any item that is returned more than 30 days after delivery
Refunds
Once your return has been received and inspected by Shop 4 School, we will send you an email to notify you that we have received your returned item. We will also notify you of the approval or rejection of your refund with reasons.
If you are approved, then your refund will be processed, and a credit will automatically be refunded to your bank account, within 14 working days.
Late Refunds or Refunds that are not reflecting in your account
If you haven’t received a refund, or it is not reflecting in your bank account after 14 days from the date of approval of the refund, please double check your bank account.
Should you be certain that it is not reflecting in the confirmed and verified account supplied, please contact your bank, as it may take some time for your bank to process and officially post the refund to your account.
Once you have followed the above steps and you are certain that the refund is not in your account, please contact Shop 4 School directly for assistance.
Sale Items
Only regular priced items will be refunded. Any items that have been processed as part of a Sale will not be refunded.
Should you have any queries regarding the refund of Sale Items, please contact Shop 4 School directly.
Exchanges
Shop 4 School will only replace items if they have a factory defect or if they are damaged due to postage.
Exchanges will be made for the same item purchased.
Please contact Shop 4 School directly to arrange the exchange.
Shipping Returns
Before returning the product to Shop 4 School, please email us and we will revert with details to make the necessary arrangements for your product to be returned.
Any postage, courier or shipping fees incurred for the return of goods to Shop 4 School will be for the purchasers account and these fees are non-refundable.
Replaced products can take up to 10 working days to reach you. Should you wish to know the status of your shipped replacement product, please contact Shop 4 School who will be able to track the courier and revert with and estimated time of delivery.
It is the responsibility of the purchaser to ensure that returned items are trackable and/or insured, particularly if they are expensive items. No refunds or exchanges will be done if the item is not received by Shop 4 School.

7. Food Products
All food items are packed with care and within expiry date at time of dispatch.

Please store snacks or perishables according to the label instructions (e.g., cool/dry conditions).

Always check ingredients for allergens as all food items have been produced or packed in kitchens that may work with, contain or be in contact with lactose, nuts, eggs, fish and/or shellfish, gluten and/or any other products that may cause an allergic reaction. Shop 4 School cannot be held liable for allergic reactions.

8. Use of Products
Please use all toys, sports gear, and educational tools as intended and under appropriate supervision (especially for younger children).

Shop 4 School is not liable for any injuries, damages, or misuse resulting from improper use of our products.

9. Custom & Personalised Items
All personalised items (e.g. name labels, printed products) are made according to the information provided – please double check spelling before confirming your order!

Once printed, these items cannot be edited, returned, or refunded unless there’s an error on our side.

10. Warranties
Most of our products are intended for light to moderate use in school or home environments.

Wear and tear is expected over time; warranties apply only where specifically stated on the product page or invoice.

11. Terms Updates

Terms and Conditions

Welcome to our family! We’re excited to support your child’s learning, care, and safe travels.

To ensure we’re all on the same page, please take a few minutes to read through these Terms & Conditions. By using our services, you confirm that you have completed the application form and the information supplied is, to the best of your knowledge, true and correct and you agree to the following:

1. Services Provided

We offer the following services:

Tutoring – academic support tailored to your child’s needs.

Au Pairing – in-home childcare and assistance.

Holiday Club – supervised, fun, and educational activities during school breaks.

Transport – safe and reliable pick-up and drop-off for your child.

2. Bookings & Scheduling

Services are to be booked in advance.

We will do our best to accommodate changes, but availability cannot be guaranteed for late requests.

Cancellations or rescheduling must be done at least 24 hours in advance to assist with the Service Providers Time Management.

Should any of the services offered by Shop 4 School not be cancelled within the 24 hour cancellation notice period, the service will be billed out at the full rate and any rescheduling of the service will be at an additional cost to the Parent/Guardian.

3. Fees & Payments

All fees are payable in advance or as per the agreed payment schedule.

Late payments may result in a suspension of services until accounts are settled in full.

Fees are non-refundable except in special circumstances at our discretion.

4. Cancellation of Contract

The Client acknowledges that all service providers, including but not limited to Tutors, Au Pairs, Drivers etc. introduced by Shop4School are contracted through the Company and that the Company has invested significant time and resources in recruiting, vetting, and training such Service Providers.

The Client agrees that during the period in which services are provided by the Company, and for a period of 12 (twelve) months after the date of the last service provided session arranged through the Company, the Client shall not, directly or indirectly:

a) Engage, employ, contract, or otherwise retain the services of any Service Provider introduced by the Company, except through the Company;
b) Solicit or encourage any Service Provider to provide services independently of the Company;
c) Make payment to any Service Provider for services rendered outside the Company’s invoicing system.

In the event of a breach of this clause, the Client agrees to pay the Company, as liquidated damages, an amount equal to 12 months’ projected Service fees based on the average monthly billing prior to the breach.

Should the client choose to engage a Service Providers services independently, a negotiated placement fee equal to 30% of the projected annual service fees, will be payable upfront before the contractual obligations of all parties concerned are rescinded.

The Client acknowledges that this clause is reasonable and necessary to protect the legitimate business interests of the Company.

Additionally, the Client undertakes to report any Service Provider who may attempt to solicit business from the Company directly with the client.

5. Safety & Wellbeing

Your child’s safety is our top priority. All our team members are vetted and trained.

Parents must provide all relevant information about medical conditions, allergies, or special requirements.

In case of illness or injury during service, we will contact you immediately and follow emergency procedures if needed.

6. Transport Services

Pick-up and drop-off points must be agreed upon in advance.

We are not responsible for children once dropped off at the designated location. Please ensure adequate arrangements have been made for your child to be met or collected at the designated destination location.

Children must be ready at the agreed time to avoid delays as these delays may negatively affect our other clients.

7. Holiday Club Rules

We maintain a safe, respectful, and fun environment.

Bullying, disruptive behaviour, or unsafe actions will not be tolerated and may result in immediate removal without a refund.

8. Parental Responsibilities

Please ensure your child is prepared with all necessary items (books, stationery, snacks, clothing, etc.).
Be punctual for pick-ups and drop-offs.

Keep us informed of any changes to contact details, schedules, or emergency information.

Although we provide support to children with regards to their homework and studies, it is imperative that work completed is reinforced. We therefore strongly recommend that the child spends an additional hour a week practicing concepts learned, completing additional exercises and going through past papers.

9. Liability

While we take every precaution to ensure safety, we are not liable for any injury, loss, or damage that occurs beyond our reasonable control.

Personal items brought to sessions, the holiday club, or during transport are the responsibility of the child and Shop 4 School will not be held responsible or liable for any loss or damage to these items.

10. Communication

We encourage open and respectful communication between parents, children, and our team.

In order to easily facilitate smooth and concise communication, and where applicable, we have a WhatsApp group setup with parents, children (if appropriate), our team members and Shop 4 School Management. Please see our Terms and Conditions regarding the conduct and expectations of our WhatsApp Groups.

Feedback and suggestions are always welcome.

11. Updates to our Terms and Conditions

Service Providers Terms and Conditions


As we strive to give our very best service and attention to everyone at all times, and to keep things consistent between Shop 4 School, our clients and our Service Providers, our Service Providers are bound by the following Terms and Conditions.

Please note that a “Service Provider” includes but is not limited to anyone who provides a service, product or goods to Shop 4 School, e.g. Tutors, Transport Providers, Photographers, Holiday Club Practitioners and Au Pairs.

All Service Providers are required to setup a WhatsApp Group Chat to include the parents cell numbers, Shop 4 School WhatsApp number, the children (if appropriate) and the Service Provider. This group will only be used to distribute information or communication relative to the family and Service Provider. All correspondence between the parties must be put on the WhatsApp group, including summarised telephonic discussions, to prevent any future confusion.

As a valued “Service Provider” working with our families, we ask that you kindly familiarise yourself with the following Terms and Conditions. These are designed to keep things running smoothly, professionally, and respectfully for everyone involved.

By accepting and providing services to Shop 4 School clients, you confirm that you have completed the application form and the information supplied is, to the best of your knowledge, true and correct and you agree to the following:

1. Professional Conduct

Always act in a respectful, responsible, and ethical manner when working with children and their families.

Maintain appropriate boundaries and act as a positive role model at all times.

No physical discipline or inappropriate language or behaviour will be tolerated.

2. Punctuality & Reliability

Be punctual and consistent in attendance.

Notify the family and Shop 4 School, on the WhatsApp Group setup, at least 24 hours in advance if you’re unable to attend a scheduled session, unless it’s an emergency.

More than two unexplained absences may result in review or termination of your placement.

3. Confidentiality

Respect the privacy of the family. Any personal or sensitive information you learn must be kept confidential.

Under NO circumstances may you post or share photos, videos, or personal details of the children or family on social media or with any third parties.

The Service Provider respects the understanding that the services they offer to any of the Shop 4 School’s clients should not be offered to the client directly or indirectly. Shop 4 School reserves the right to claim for any damages or loss as a result of any of their clients being poached by the Service Provider.

4. Child Safety & Wellbeing

Ensure the safety and wellbeing of the child(ren) is your top priority during your time with them.

It is a requirement of your placement through Shop 4 School to ensure that any / all emergency care training has been completed and is up to date and current at all times. This training includes but is not limited to first aid, advanced drivers, childcare etc. and is the responsibility of the Service Provider.

Follow all instructions provided by the parent or guardian, especially in terms of routines, allergies, medications, etc.

Report any accidents or incidents immediately to the parent/guardian and Shop 4 School.

Any concerns regarding the learners progress or their abilities must be reported to Shop 4 School in order for it to be addressed appropriately.

5. Tutoring Expectations

Come prepared for each tutoring session with materials and/or a plan, where applicable.  Should the Service Provider require any assistance with materials or lesson plans, they are to request this from Shop 4 School in advance.

Set clear goals and regularly communicate progress with the parent or guardian and Shop 4 School.

Do not complete schoolwork for the student, but support and guide them through their understanding.

The Tutor should structure their lessons to allow preparation of the learner for assessments.

6. Use of Technology

Refrain from using your mobile phone or other personal devices during your working hours unless it’s for educational purposes or emergency contact.

Always follow the family’s preferences regarding screen time, device use, or online learning platforms.

Where online lessons are conducted, the cost of use of technology will be for the Service Providers account. Shop 4 School will not be held responsible or liable for loss or damage of any technological equipment.

7. Transport & Travel

If transport is part of your duties, you must hold a valid driver’s license and drive responsibly.

Seat belts must be worn at all times and car seats used where applicable.

Any travel costs to and from the learner’s home will be the responsibility of the Service Provider. Shop 4 School will not bear any responsibility or liability for loss or damage of any vehicle used.

8. Cell Phone Devices and Data

The Service Provider must ensure that their primary mobile device is in working order and available which includes having sufficient and active mobile data at all times while performing their duties for Shop4School.  The Service Provider is responsible for monitoring, maintaining and topping up their data balance as needed.  Lack of available data resulting in failure to receive calls, messages, emails or other communications will be considered a breach of communication requirements.

 9. Dress Code

Present yourself neatly and appropriately, in a way that’s comfortable for working with children but still professional.

Please ensure that your outfit is not revealing or too short as you are working with children and you are a representative of Shop 4 School and our ethics and moral values.

10. Termination & Notice

Either party (you or the family) may terminate the working relationship with one calendar month’s written notice to Shop 4 School.

Immediate termination may occur in cases of misconduct, repeated lateness, or breach of any of these terms.

The Service Provider acknowledges that the Company has introduced the Service Provider to its clients and has invested significant time, marketing, administrative, and financial resources in developing and maintaining its client relationships.

The Service Provider agrees that during the term of this Agreement, and for a period of 12 (twelve) months following termination of this Agreement for any reason, the Service Provider shall not, directly or indirectly:

a) Solicit, approach, or accept work from any client introduced to the Service Provider by the Company, except through the Company;
b) Provide services or related educational services independently to any client introduced by the Company;
c) Encourage or induce any client to terminate or reduce their relationship with the Company;
d) Disclose or use the Company’s confidential information for personal gain.

This restraint applies only to clients to whom the Service Provider was introduced or for whom the Service Provider provided services through the Company.

In the event of a breach of this clause, the Service Provider agrees to pay the Company, as liquidated damages, an amount equal to 12 months’ projected revenue derived from the relevant client.

The Service Provider acknowledges that the duration, scope, and nature of this restraint are reasonable and necessary to protect the legitimate business interests of the Company.

11. Agreement & Updates

By accepting a placement via Shop 4 School, you agree to adhere to these Terms and Conditions.

It is the responsibility of the Service provider to update Shop 4 School in writing with any changes to their personal situation or contact details.

Shop 4 School reserve the right to update these Terms and Conditions from time to time – updated versions will always be available on our website at www.Shop4School.co.za.

The Shop 4 School WhatsApp Groups has been setup as a space for parents, guardians, and Service Providers of Shop 4 School to stay up to date with important announcements, events, and information, and maybe share a smile or two along the way.

Here’s how we keep the conversation helpful and happy:

1. Purpose of the Groups
The intention of the WhatsApp Group is for sharing information and updates related to our services provided to you and your little ones.

It’s not for debates, advertising unrelated products, or political/controversial topics.

2. Be Kind & Respectful
Treat everyone with respect – no rude, offensive, or hurtful comments.

No swearing, derogatory or inflammatory comments will be tolerated.

Remember that tone can be hard to read in text – if in doubt, keep it friendly and professional.

No name-calling, gossip, or shaming of any child, parent, or Service Provider.

3. Keep It Relevant
Share only info relevant to the group’s purpose.

Avoid excessive forwards, chain messages, or unrelated memes.

4. Privacy Matters
Do not share anyone’s personal information, contact details, or images without permission.

Group chats are not 100% private – think before you share.

5. No Spam or Advertising
No selling, promoting, or advertising unrelated businesses or services in the group without admins approval.

6. Admin Role
Admins may remove messages or members who break the rules.

If you have an issue, please message the admin or Shop 4 School privately instead of debating in the group.

7. Safety First
Any urgent safety concerns about children or activities should be reported directly to the admin or Shop 4 School – not just posted in the group.

8. Group Etiquette
Keep messages short and to the point where possible.

Use emojis wisely 😄 and CAPS LOCK sparingly (it can look like shouting).

Please be mindful of posting late at night or very early in the morning.

NB Please ensure that and urgent messages are received by the person it was intended for. If an urgent message has been sent and not responded to, please follow it up with a phone call to the person concerned.

While we do everything possible to ensure safety, parents/guardians remain responsible for their child’s behaviour and well-being outside of our official activities.

Payment terms will be provided at checkout or upon booking. 

Late payments may result in suspension of services or cancellation of bookings.

For services, cancellations made less than 24 hours before the scheduled date may incur a fee. 

Refunds for products are subject to our refunds policy, are unused, in original packaging, and accompanied by proof of purchase.

We maintain a zero-tolerance policy for bullying, harassment, or unsafe behaviour.

Our staff are trained to follow strict safety procedures, and we expect the same cooperation from clients and participants.
